Exporting WhatsApp Chats for Conversation Audit
The PBrain team conducts a baseline conversational audit by analysing real inbound messages from your customers. A good audit requires 30–50 inbound WhatsApp messages. To ensure the audit reflects how your customers really communicate, please avoid cherry-picking the “best” or “worst” chats – export a sample of conversations as they occurred (more messages are always welcome).
If you receive enquiries via other channels (e.g., Facebook Messenger, Telegram), you may also export those chats and include them in the same email.
After exporting, email the resulting files to sales@pbrain.biz and admin@pbrain.biz.

Exporting a single chat on iPhone (iOS)
On iPhone, WhatsApp exports each chat as a ZIP file containing a plain‑text ".txt" file and the selected media. The text file lists each message with its date and time stamp.
Open the chat: Launch WhatsApp and open the conversation you want to export.
Open contact info: Tap the contact or group name at the top of the screen. A page with details about the chat opens.
Export chat: Scroll down and select “Export Chat.”.
Choose whether to include media: Choose “Without Media”.
Select a destination: A sharing sheet appears. Choose how you’d like to send the exported chat – for example by email, AirDrop, or saving it to Files.
Repeat for other chats: If you need more messages, repeat the steps for other inbound conversations.
The exported file is a .zip archive containing a .txt file and (if selected) media attachments. You can send the ZIP file directly to PBrain
Exporting a single chat on Android
On Android, exported chats are saved as a text file (.txt). You can start the export directly from within a conversation or from WhatsApp Settings.
A Export from a chat
Open the chat: Open WhatsApp and go to the conversation you want to export.
Open the menu: Tap the three‑dot menu in the top‑right corner.
Choose More ➞ Export Chat: Select “More” and then “Export chat.”. A prompt asks whether to include media files.
Include or exclude media: Select “Without media”.
Select a destination: Choose how to share or save the exported file – for example by email, Google Drive, or saving locally.
B Export via Settings
You can also export chats from Settings, which is useful when you want to export multiple conversations in succession. To do this:
Open WhatsApp: Tap the three‑dot menu, then Settings.
Navigate to Chat history: Select “Chats” and then “Chat history.”
Export chat: Tap “Export chat”, choose the conversation you want, and follow the on‑screen instructions.
Best practices when exporting conversations for PBrain
Provide 30–50 inbound messages: PBrain’s audit needs a sample of roughly 30–50 inbound messages per channel. More messages are welcome – they help build a more accurate baseline. Try to provide us with the last 7 days of conversations
Don’t cherry‑pick conversations: Export chats as they occurred, without removing negative or mundane interactions. Authentic data gives PBrain a realistic picture of your customer service.
Include messages from other channels: If you receive inbound messages via platforms like Facebook Messenger, Instagram, Telegram or email, export those conversations and include them in the same email.
Send attachments via email: Once you have exported your conversations, attach the resulting .txt or .zip files to an email and send them to sales@pbrain.biz and admin@pbrain.biz.

No. Exporting a chat copies the conversation to a file but does not delete the chat from your device.

There is no strict limit, but larger chats may take longer to export and may require splitting into multiple emails. For the PBrain audit, 30–50 inbound messages are enough.

Gather your exports: After exporting the required chats (30–50 inbound messages per channel), ensure the files are saved on your device or in a cloud storage location.
Compose an email: Address the email to sales@pbrain.biz and admin@pbrain.biz.
Attach the exported files: Attach the .txt or .zip files containing your chats. If the files are large, you may compress them into a single ZIP file or use a file‑sharing service (Google Drive, Dropbox) and include the link in your email.
Send the email: Include a brief note that the attachments contain WhatsApp conversations for the PBrain baseline audit. Send the email when ready.
